Job Title: Contracts AdministratorJob Description
This position requires a flexible start time between 7am or 8am during the first shift. Under direct supervision, the Contracts Administrator will manage activities related to contracts for the Sales & Marketing and Legal departments, utilizing a range of skills and knowledge about organizational policies and procedures. Responsibilities include resolving administrative problems and inquiries, composing, editing, and proofreading correspondence and reports, and preparing various documents for internal and external customers concerning contractual milestones and status.
Responsibilities
+ Collaborate with the Sales & Marketing team to administer and monitor customer contract performance.
+ Manage the contract review processes in alignment with internal compliance requirements across an organizational matrix environment.
+ Respond to standard inquiries regarding contract obligations and revisions, including assisting in proposal preparation for customer requirements.
+ Provide administrative support for the department, such as answering questions regarding contract status, assisting visitors, and resolving a range of contract administrative problems and inquiries.
+ Prepare or assist with the preparation of scheduled and/or ad-hoc statistical and/or narrative reports.
+ Produce statistical reports, graphs, and charts to support contractual rights, obligations, and status.
+ Utilize the ERP system to input data/sales orders, verify credit terms with the credit department, follow-up, and maintain records of contract/project orders.
+ Sustain a centralized contracts and agreements repository and contract management system to track status, renewal dates, and compliance requirements.
+ Ensure contracts and agreements comply with internal standard operation procedures by preparing the final contracts and agreements packet inclusive of all departments.
+ Perform other duties as assigned.
Essential Skills
+ Contracts administration experience with DocuSign CLM.
+ Ability to negotiate and provide administrative support.
+ Bachelor's degree in Business Administration or related field; or equivalent combination of education and experience, with 2 years of related experience.
+ Basic understanding of contracts, terms and conditions, and detailed knowledge of the contracting process.
+ Knowledge of terms and conditions appropriate for different contract types and INCO terms.
+ Ability to work independently and collaboratively with a wide variety of staff, departments, and cultures.
+ Exceptional ability to handle sensitive material and maintain confidentiality.
+ Highly detail-oriented with good follow-through, highly organized, ability to manage multiple projects simultaneously.
+ Excellent verbal and written communication and interpersonal skills.
+ Intermediate skills in MS Office (Outlook, Word, Excel, PowerPoint, and Internet Explorer) and DocuSign.
Additional Skills & Qualifications
+ Basic knowledge of monitoring contracts within a manufacturing environment is a plus.
+ Strong accuracy in projects desirable.
+ Ability to prioritize, meet deadlines, and handle a high-volume workload in a fast-paced manufacturing environment.
+ Intermediate level of reading and interpreting documents such as safety rules, operating and maintenance instructions, and procedure manuals.
+ Ability to write routine e-mails and speak effectively across a functional matrix organization.
+ Ability to perform basic arithmetic operations using whole numbers, common fractions, and decimals.
+ Understand and follow standard operating and safety procedures.
Work Environment
The work environment involves frequent sitting at a desk for data entry and other computer applications, with occasional standing, walking, lifting, squatting, kneeling, climbing stairs or step stools, and reaching for materials. Fine hand manipulation is required for computer work, and vision requirements include close and distance vision. The position may require driving a personal or company vehicle for errands, and a valid driver's license is necessary. Extended hours may be required based on business demands.
Pay and Benefits
The pay range for this position is $29.00 - $35.00/hr.
